Department Overview
Operations Support is dedicated to creating cross-commodity consistency and standards in Operations. The team provides support services guided by best practices and a relentless pursuit for improvement. It has single points of accountability for Work Management & Resource Planning, Clerical Services, Business Operations & Process Improvement, and Enterprise Public Works. Operations Support is comprised of approximately 1,000 coworkers.
Position Summary
Central Clerical Services provides clerical services to Electric and Gas Operations. The Clerical Services Manager oversees all clerical services activities - from job initiation to job completion – for internally planned and externally generated work. The incumbent leads work processes for order management through progressing work to construction and job completion/closure for activities such as service scheduling, streetlights and joint pole processing and gas/electric compliance while ensuring appropriate staffing and workload. Manages Supervisors and bargaining unit clerical staff to fulfill customer commitments by ensuring efficient and effective clerical processes for all departments within Electric and Gas Operations.
This position is hybrid, working from your remote office and assigned location, subject to change per business needs.
This position is flexible within the Bay Area and headquarters will be agreed upon by the successful candidate and hiring leader.
Assist in responding safely, rapidly, and effectively to an emergency; to support and restore systems that support critical utility operations and customers; and restore business functions in an emergency with minimal impact to our customers.
Travels approximately 50-70% of the time with occasional overnight stays.
PG&E is providing the salary range that the company in good faith believes it might pay for this position at the time of the job posting. This compensation range is specific to the locality of the job. The actual salary paid to an individual will be based on multiple factors, including, but not limited to, specific skills, education, licenses or certifications, experience, market value, geographic location, and internal equity. Although we estimate the successful candidate hired into this role will be placed towards the middle or entry point of the range, the decision will be made on a case-by-case basis related to these factors.
A reasonable salary range is:
Minimum Base Salary (Bay Area) $ 118,000.00
Maximum Base Salary (Bay Area) $ 188,000.00
OR
Minimum Base Salary (California) $ 112,000.00
Maximum Base Salary (California) $ 179,000.00
Job Responsibilities
- Ensures operational excellence by managing the day-to-day operations of the clerical organization to align with established objectives.
- Oversees clerical services activities to support electrical and gas operations - from job initiation to job completion - which may include: SAP/SRM management, order intake/processing, construction scheduling, permit acquisition, damage claims, oversee customer cases, compliance and general administration to meet customer commitments.
- Leads team to coordinate with various internal and external stakeholders to clear all dependencies on projects and release to construction.
- Leads team efforts to meet deadlines and implement solutions. Works collaboratively with direct reports to plan, resource, execute, remove inconsistencies and measure workload to increase efficiencies and meet productivity targets.
- Builds strategic partnerships to maintain and improve communications and identify work stream efficiencies for Electric Operations and Gas Operations lines of business. Partners with Customer Service Delivery peer leaders to manage and execute comprehensive processes/procedures, update clerical procedures, build and sustain resource efficiencies, meet workflow commitments and provide a high-level of service to clients.
- Monitors and presents key performance measures through various metrics and indicators. Proactively engages in operational planning to meet financial commitments, retain customer focus, and ensure client-driven results. Regularly monitors department budgets, expenses and variances. Ensures customer expectations are met or exceeded by staying current with client needs.
- Assesses and provides feedback to the organization to improve work processes, identify process training gaps, and ensure procedures are in compliance with company policies and standards. Leads change management efforts.
- Creates, promotes, manages and influences others, to sustain a safety-first work environment and culture.
- Direct and indirect reports include Supervisors and bargaining unit clerical employees.
- Manages staff to drive performance and accomplish results through effective recruitment and selection, training and development, performance management/coaching and rewards and recognition.
Qualifications
Minimum:
- Bachelor's degree or equivalent work experience
- 8 years of relevant work experience
- 3 years supervisory experience overseeing union-represented employees or equivalent work experience.
Desired:
- Clerical experience
- Field Supervision/Leadership experience
- Leadership within utility (Gas, Electric, General Construction (GC), or Contract) experience
- Good understanding of the utility business including gas and electric estimating and service planning processes.
- Strong oral and written communication skills.
- Excellent interpersonal and collaboration skills to effectively influence and build relationships with peers, subordinates, management and customers.
- Strong business and financial acumen to effectively develop and manage department budgets, expenses and variances.
